How to use Promotions & Products Export

This guide shows you how to use Promotions & Products Export in effectmanager

In this guide, we will show you how to use the Promotion & Products Export in effectmanager. 

This file can be used for export promotions from effectmanager in a standard format. This format can be exported to Excel.XLXS and Excel.csv. 

The file can be scheduled for delivery via email or an FTP server.

The Promotions & Products export file has a standard format that can be used for import into an external system or to make multiple corrections to promotions in effectmanager.

1. In the Reports Module, navigate to the left side menu and find EXPORTS - Promotions and Products.

2. In the filter on the right side, select your filtering criteria. 
You can filter by basic criteria, such as Chain, Category, State, Period, or Dynamic Period. You can add a detail filter, such as Type, Mechanism, or Flag.

Pro-tip: If you save a filter with a Dynamic Period, loading your report will become a streamlined process each time you require it. For detailed instructions on utilizing Promotion Filters with a Dynamic Period, please refer to the guide linked here. 

Press Excel for an Excel.XLSX and CSV for an Excel-CSV file to be exported.

How to schedule the Promotions & Products file

If you want to schedule an export of the Promotions & Products file for sendout to an email, you can do this in two ways:

You can schedule it as a one-time occurrence or as a recurring task

To schedule a recurring export, you must have a saved filter. 

 

How to schedule the Promotions & Products file integration

If you want to integrate promotion data into your system, we offer an export of our standard Promotions & Products file. You can schedule the report for export as often as needed, and it can be delivered to an email address or via FTP. 

Please get in touch with the effectmanager sales team if you are interested in integrating Promotion & Products data. 

Schedule for email

If you need the file to be sent to an email to be integrated into your system, please ask support to add this email as a user in effectmanager. 

1. Schedule a task for Promotions & Products; you do this either through the report or through settings. See more in this guide on how to schedule a task in effectmanager. 

2. When you configure the scheduled task in Send to, select "User e-mail" and then in Email to select the email from the dropdown of the users. 

Schedule for FTP
If you want to integrate the Promotions & Products file to an FTP server, you need special access for this. 

Once you get access to this, you need to do the following

1. Schedule a task for Promotions & Products; you do this either through the report or through settings. See more in this guide on how to schedule a task in effectmanager. 

2. When setting up the scheduled task, choose "FTP server" from the Send to options. This will bring up the necessary fields for configuring your FTP settings.

3. You must input the following

  • FTP Server Host: The server host for your FTP
  • FTP User Name: The username for connecting
    • Valid format: alphanumeric, dots, dashes, and underscores are accepted—Max 50 characters
  • FTP Password: Password for the user
  • FTP Path: If you have a specific folder where you want the file placed, enter it here. If no folder is needed, just input / , as this is a mandary field, and the file will be placed in the default location that the user is directed to when they log in.
    • Valid format: It needs to start and end with a "\\" and only alphanumeric, dots, dashes, and underscores are accepted
  • FTP Port: You need to select the port for us to deliver the file; you input it here. FTP Port is mandatory, if no specific PORT is needed just input 1. 
    • Valid format: Port 990 is not supported

4. If you want to be notified about successful delivery or an error in the delivery of the file on the FTP, please tick the box for "Notification". This will send you an email.

Pro-Tip: It is highly recommended to utilize the dynamic period filter when saving filters for recurring tasks. This practice will help guarantee that the exported file consistently reflects the most up-to-date data.

5. Fill out the remaining needs for filetype, where you can select between Excel.xls and Excel.csv or both.

6. Proceed to set the occurrence of the report on the ftp server. 

It is important to note that scheduling a recurring task requires the use of a stored filter.
